Tell us what you need

Start with the enquiry form or a phone call. We’ll want to understand the shape of your business, the work you want covered, the software it runs in, the hours you’re after and when you’d like to start.

If we don’t think a VA is the right answer for what you’ve described, we’ll say so at this stage rather than three months in.

STEP 02

We match the right VA

We write a screening brief from what you’ve told us and source against it. Candidates are assessed for relevant construction or administrative experience, English communication, software familiarity and the specific tasks in your scope.

You interview the candidates we put forward and make the final decision. If none of them are right, we go again — placing someone you’re unsure about helps nobody.

STEP 03

Your VA integrates with your business

Your VA works to your processes, your templates and your systems, during Australian business hours. We help you structure the first few weeks — what gets handed over first, what documentation the VA needs, and how work will be reviewed — so the opening month is productive rather than exploratory.

Access to your systems is granted by you and controlled by you. You can revoke it at any time.

STEP 04

Scale your support as you grow

Once the first VA is working well, adjusting is straightforward: increase hours through a busy tender period, broaden the scope into another function, or add a second VA when the pipeline justifies it.

The point is that support tracks your workload instead of running permanently ahead of it.

Practicalities

The questions builders ask first

Hours and timezone

VAs work Australian business hours, aligned to your state. Specific start and finish times are agreed with you.

Communication

Your VA uses the channels you already use — email, Teams, phone, or whatever your projects run on. They're contactable during their working day, not on a ticket queue.

Systems and access

You grant access to your systems directly, under your own security settings and licences. You control what they can see and can revoke it at any time.

Confidentiality

Confidentiality terms are put in place before any placement begins. Tender pricing and client information are treated accordingly.

Management

Day to day, your VA takes direction from your team like any other team member. ORIVASO stays involved for performance, continuity and escalation.

If it isn't working

Raise it early. We'd rather address a mismatch in week three than at a six-month review. Replacement arrangements are covered in your engagement terms.

Commercial terms — hours, engagement length, notice and what happens if a placement isn’t right — are agreed with you before anyone starts and confirmed in writing. The FAQ covers the common ones.
